Before the Event

Initial meeting to get an overview of wishes, colors, desires and theme

Meeting to review all service providers contracted by the client

Help with ambiance design – including floor plan, flowers, decor, lighting and more

Catering and menu development

Unlimited communication via email and phone

Service provider recommendations

Arrange appointments with professional service providers – attend final meetings as needed

Review all your service provider contracts and contact service providers to confirm details

Will work closely with the designer in creating invitations and thank you cards

Entertainment suggestions

Meet with venue site to coordinate details

Seating arrangements assistance

Assist with designing of map direction

Coordination and ordering of all rental items including: tables, linens, flatware, glasses, lounge furniture

Planning the arrival and pick-up time of all rentals and deliveries

Create a detailed itinerary, contact sheet and map for the event vendors

Prime contact/liaison between the service providers and clients

Assist with all details and timeline at the venue

Continuous update of details and payments between professionals and client

Budget planning and bookkeeping – including due dates

Set up final event meetings with service providers

Personally contact each service provider in the event week to ensure their contracted services

Distribute final payments to service providers


Event Day

Set-up all venue tables and chairs

Place all linens

Set-up all silverware, glasses, plates

Place decor items

Confirm table numbers and chairs

Place menu cards

Distribute Gratuities to service providers

Arrive at venue site, to check on details and decor

Provide an event day emergency kit

Event Day coordination with no less than two coordinators (one lead and one assistant)


Day After the Event

Complete tear down and clean-up of entire reception site

Arrange for pick-up of all rental items
